HOTELS

HOTEL REQUEST PROCESS

You may request hotel rooms at the time of ticket request. In order for the hotel site to be enabled, at least one (1) ticket must be requested and paid for.

To qualify for the NCYC group rate, hotels generally require a three-night stay—Thursday to Sunday. (If you are considering departing Saturday night, remember you will need a plan to store your luggage.)

Using NCYC block hotel rooms helps underwrite the convention center rental cost.

FAQ

NFCYM prefers that you request/reserve hotel rooms immediately following ticket purchase, but you may return to request rooms later if that is not possible. We anticipate having enough rooms in our block to accommodate all participant requests, but availability will become more limited the closer we get to November.

Once the Hotel Portal is available (January 2025)

Create or log into your 2024 Ticket and Hotel Portal account. You will find separate buttons for requesting ten or fewer rooms and 11 or more rooms. This will be available on or before February 15, 2025

If you need ten or fewer rooms, you will need a valid credit card number and expiration date. On/about October 15, your selected hotel(s) will be granted the authority (but not the requirement) to debit your card for one night’s room and tax per room as a deposit or as a no-show fee if you cancel 72-hours or less before your scheduled arrival. You may provide a different form of payment at check-in.

If you need 11 or more rooms, you will need to know:

  1. Number of one- and two-bedded rooms needed
  2. Your top 3-5 preferred hotels in the NCYC block
  3. Criteria to be used if none of your preferred hotels are available (i.e., location, rate, meeting space, breakfast, parking)

Every effort is made to place you in one of your top selections. If those hotels are no longer available or cannot accommodate your number, our team uses your specified criteria to suggest appropriate alternatives. Once assigned to a property, you will work directly with the hotel on a deposit and payment schedule.

If you reserve 10 or fewer rooms per night, you will receive an email confirmation shortly after submission.

If you request 11 or more rooms per night, you will immediately receive an email notification that your request has been received. Once your hotel placement is made, you will receive an email confirmation. This process may take up to 15 business days.
