NCYC Group Leader Tips and Tricks Vol. 2

Bringing a group to NCYC is one of the most rewarding things you can do—but we know it also comes with a lot of moving parts. From travel logistics to keeping your group engaged and spiritually nourished, there’s a lot to think about. That’s why we’ve gathered insights, tips, and tried-and-true strategies from experienced group leaders who’ve walked this road before. Whether it’s your first time or your fifth, this blog post is packed with practical advice to help you lead well and make NCYC unforgettable for your group.

Marisally Santiago, Director of Youth and Young Adult Ministry for the Archdiocese of Philadelphia, joins Abigail Struppa, NFCYM Event Marketing Coordinator, to share some of his best tips and tricks for group leaders attending NCYC.

The Archdiocese of Philadelphia is bringing their second delegation of just over 200 participants to NCYC this year, double their numbers from 2023!

Marisally's top 4 tips

1. Knowing What’s Feasible for Your People

  • Coming from a city like Philadelphia, they can fly or drive via bus. Doing an early check-in with the prices of flights vs. busing was key to the success and allowed for more room in the budget. It came down to what was most feasible as a delegation; everything else followed. 

2. Making Things Easy as Pie

  • With a delegation of over 200, Marisally opted for easy. Staying in a downtown hotel that is walkable from the convention center and being able to walk back and forth all day, even if you forgot something, need a quick nap, or kids get sick, we know the drill; things happen! Opting for a closer hotel was worth the extra money, rather than going for a less expensive hotel and taking the bus every day. 
  • Their group also grabbed the 6-person occupancy rooms rather than the 4-person occupancy rooms, which allowed for a lower cost per person.

4. Communicate. Communicate. Communicate

Remaining in communication with everyone in your group has been a key to the success of NCYC for the Archdiocese of Philadelphia. Whether it’s before the conference, being transparent about pricing, what’s included, and what’s not included in your pricing. Communicating while at NCYC regarding general session seating, breakouts, meeting spots, or even meals allows for efficiency while navigating throughout the week.
