Bringing a group to a major event like NCYC can feel like organizing a small army—but it doesn’t have to! Whether it’s your first time or your fifth, every trip has its surprises. That’s why we asked experienced group leaders to share their best tips, tricks, and lessons learned from the road. From packing hacks to spiritual prep, these insights will help you lead with confidence, joy, and a little less stress.
Kevin Feyen, Director of Youth and Young Adult Ministry for the Archdiocese of Dubuque, joins Abigail Struppa, NFCYM Event Marketing Coordinator, to share some of his best tips and tricks for group leaders attending NCYC.
Over the years, Kevin has been the Diocesan Delegation Leader for the Archdiocese of Dubuque, and they have seen upwards of 1800 participants for the National Catholic Youth Conference. This year, their group totals a little over 850 participants.
Kevin's top 4 tips
1. Bus Time is Not “Dead Time”
“If you’re traveling by bus, plan engagement activities, and plan some small group activities. You can still do small group discussions, private journaling. It’s a great time to plan breakout sessions and what exhibits you might want to see in the interactive space when you want to, you know, spend some time for reconciliation and adoration.”
2. Picking Between Cheap, Quick, or Good Food
“There are three things you can choose from: cheap, quick, or good, but you can’t pick all three. So think about what is most important to you. If you want something quick, it’s probably going to be the Convention Center, which is going to be a little bit more pricey, but it’s right there. If you want something that’s quality, you’re probably going to be walking and staying outside for a while, waiting for a table. “
“I really recommend finding a place at least once during the day to sit, slow down, and eat a good, healthy meal because we’re so rushed and anxious all the time that we’re eating garbage and just really stressed and anxious.”

4. More Than 6? Let Them Mix.
Kevin recommended that when groups are larger than 6 high schoolers, break up into smaller groups for easier communication, check-ins, and getting around NCYC.
Communication: Remaining in communication with your students is key, and check-ins throughout the event.
